Separate the order, label and handover

An order confirmation, a purchased label and a parcel handed to a carrier describe different stages. Our recommendation is to establish which stage has actually been completed before asking someone to locate a missing shipment.

Label Created in trackingWhen and how was the physical parcel handed over?
Sender says it was dropped offIs there a receipt or handover record for the same reference?
A later UPS eventWhat does the latest event say, and when did it occur?

This is a troubleshooting sequence, rather than a prediction about the location of your parcel. Keep the order reference separate from the tracking number so neither side investigates the wrong shipment.

What should a recipient ask the seller?

Send a short message with the order reference and current tracking status. Ask the seller to confirm the tracking number, handover date and method, and whether it has evidence of acceptance. Save the reply with your order history.

For example, “The tracker still shows Label Created. Can you confirm when this parcel was handed over and check that this is the correct reference?” gives the seller a specific check to perform. Avoid treating an unchanged status as proof that the parcel is lost or that the seller has acted dishonestly.

What should a sender check?

  • Match the tracking number on the label to the reference sent to the buyer.
  • Check that the correct parcel left the packing area.
  • Find the drop-off receipt, collection record or other handover evidence.
  • Check the latest UPS tracking detail before opening an enquiry.
  • Keep any enquiry reference with the order so follow-up is consistent.
